Overview
How does KDA Hiring's recruitment process work?
KDA Hiring's process runs in eight stages. The employer shares a requirement and sends a demand letter. KDA Hiring then sources and trade-tests candidates in India, and the employer interviews and selects. After that come the medical, visa stamping and eMigrate emigration clearance, followed by departure and a 90-day follow-up period. Most orders are completed in 3 to 6 weeks.
Step by step
The eight stages in detail
Timings are typical, not guaranteed. Visa queues and medical slots differ by country and by season.
Stage 1: Share your requirement
Day 1It starts with a message or a call. Tell us the roles, how many people you need, the salary and where they'll work. Within 24 hours you'll get a sourcing plan back from your account manager, with a realistic timeline.
YouSend roles, headcount, salary and locationKDA HiringReply with a sourcing plan and timelineStage 2: Demand letter and agreement
Days 2 to 5Once you're happy with the plan, we need three documents from you: a demand letter on company letterhead, a power of attorney naming KDA HiringLabs, and a specimen employment contract. Some countries want these attested by the Indian embassy, and we'll tell you if yours does. Then we sign a recruitment agreement.
YouIssue the demand letter, power of attorney and contractKDA HiringCheck the paperwork and sign the agreementStage 3: Sourcing and shortlisting
Week 1Our recruiters reach out across Uttar Pradesh, Bihar and Rajasthan. Passports, experience letters and certificates are checked before anyone is invited for testing, which keeps the shortlist clean.

Weeks 1 to 2Shortlisted candidates take a hands-on test built around your job description. You can then interview the best of them by video, or fly in and meet them in Lucknow. We also keep a few reserves for every order in case someone drops out later.

Week 2Selected workers receive the offer, and we go through it with each of them in Hindi or their own language. Salary, hours, accommodation and contract length are all explained before anyone signs, so there are no surprises on arrival.
YouConfirm final selectionsKDA HiringExplain the offer to each worker and collect signaturesStage 6: Medical screening
Weeks 2 to 3For Saudi Arabia, Kuwait, Oman and Bahrain, workers take a Wafid medical at an approved centre in India. Qatar-bound workers go to a Qatar Visa Centre instead. For UAE jobs, most of the medical happens after arrival. If anyone is declared unfit, we bring in a reserve.
YouProcess the work visa in your countryKDA HiringBook medicals and track the resultsStage 7: Visa stamping and emigration clearance
Weeks 3 to 5When your visa comes through, we get it stamped and file emigration clearance on eMigrate for workers with ECR passports. We also buy the mandatory Pravasi Bharatiya Bima Yojana insurance and arrange the government's pre-departure orientation.

Questions about the recruitment process
Can't find your answer here? Write to us and we'll reply within 24 hours.

Ready for step one?
Send us your requirement and you'll have a sourcing plan by tomorrow.
Use the enquiry formHow long does KDA Hiring's recruitment process take?
Usually 3 to 6 weeks from the day we receive your demand letter. Sourcing and testing take one to two weeks. The rest depends mostly on how fast your visas are issued and how quickly medical slots open up.
What documents does an employer need to send?
A demand letter on your letterhead, a power of attorney in favour of KDA HiringLabs and a specimen employment contract. Your account manager will tell you whether your country needs them attested.
Can we interview candidates before selecting them?
Yes, and we'd encourage it. Most clients interview by video after our trade tests. Some prefer to visit Lucknow and run their own tests, and we'll organise the venue and candidates for that.
What happens if a candidate fails the medical?
We replace them from the reserve list we keep for every order. Because medicals happen early, you find out before the visa stage moves too far.
What if a worker leaves soon after arriving?
If it happens within 90 days of deployment, we send a replacement and don't charge a second recruitment fee.
Can urgent orders be processed faster?
Sometimes. For common trades we often have tested candidates ready, which shortens sourcing. Visa issuing and medical slots still set the pace, so we'll give you an honest date rather than a hopeful one.
